The strategic direction of the organisation is determined by an elected Steering Committee of C40 mayors, which is chaired by Mayor Sadiq Khan of London and Mayor Yvonne Aki-Sawyerr of Freetown. Three-term Mayor of New York City Michael R. Bloomberg serves as President of the C40 Board of Directors, responsible for operational oversight. A regionally diverse management team, led by Executive Director Mark Watts, leads the day-to-day management of C40. C40’s three core strategic funders are Bloomberg Philanthropies, the Children’s Investment Fund Foundation and Realdania.

Department Description
The Governance and Executive Engagement manages the day to day functioning of the Co-Chairs, Steering Committee, Board of Directors and Executive Director. The team is responsible for ensuring the direction from our leadership is operationalised, working alongside C40’s Deputy Executive Director and wider Management Team.
C40 World Mayors Summit 2025
The C40 World Mayors Summit is the milestone meeting of C40’s member cities. The 2025 Summit (location TBC) will be the ninth C40 Summit. The last Summit in Buenos Aires was a hybrid event with over 3000 local and international delegates attending in-person. The 2025 Summit will consist of opening and closing plenaries, closed door in-person working sessions for mayors and C40 global ambassadors and thought leaders, public-facing in-person and live streamed sessions.
Position Description
The Summit Cvent Platform Senior Manager will work closely with the Director of Summit Delivery, Summit Logistics and Production Leads, wider Summit Team and Political Strategy and Leadership Support team for the successful delivery of the C40 World Mayors Summit in 2025. The successful candidate will be a dynamic, motivated self-starter able to lead in the development and management of registration, marketing, Passkey integration, and Attendee Hub for our upcoming Summit, which will target over 4,000 contacts and manage up to 2,500 attendees.
The ideal candidate will thrive in a fast-paced environment and have exceptional organisational and attention to detail skills. Two key parts of this role include the ability to adapt the platform to reflect the evolving plans of the Summit, as well as cater for surges of activity as Summit news is communicated and plans are made or changed right up until the week before the event.
Responsibilities:
- Registration management:
- Develop and manage all aspects of event registration using the Cvent platform, including attendee registration, data management, and reporting;
- Assist in the coordination of the Summit inbox, working closely with the Summit team and external stakeholders to promptly address enquiries from attendees regarding the logistics of their participation;
- Modify and maintain attendee and speaker registration and participation details on the backend of Cvent as necessary, including updating attendee profiles, adjusting registration information, and collecting any supplementary information required for their participation.
- Passkey integration:
- Develop and oversee Passkey integration to manage hotel reservations and accommodation for a range of guests types with varying levels of support from funded to self-funded.
- Content management:
- Maintain and monitor content on Cvent daily, to ensure all information and content is accurate and up-to-date, including managing the translation of content.
- Attendee Hub management:
- Lead the development and management of Cvent’s Attendee Hub, including managing the design and implementation of key platform features to provide a smooth and positive user experience for in-person, hybrid, and virtual attendees.
- Marketing campaigns:
- Coordinate with the Summit team to develop and execute event marketing campaigns via Cvent to promote the Summit and drive attendee registration and engagement.
- Support and training:
- Provide technical support and training to staff and attendees using the Cvent platform and Attendee Hub.
- Data analysis and compliance:
- Monitor and analyse registration and attendee engagement data to identify trends and opportunities for improvement;
- Ensure compliance with data protection regulations and best practices in data management.
- Web design and development:
- Utilise web design and development skills to customise and optimise the event website, Passkey and Attendee Hub, ensuring seamless integration and functionality.
- Project planning:
- Timeline & tracker management – provide input into organisation-wide trackers on behalf of the Summit team;
- Coordinate stakeholder meetings, prepare agendas, and document meeting outcomes;
- Scheduling and agenda management of meetings.
- Production, venue liaison and coordination:
- Support the Summit Production Lead in developing production plans, schedules, and processes;
- Support the Summit venue liaison activities, ensuring logistics plans are communicated to relevant teams.
Person specification:
- In-depth knowledge of the Cvent platform required, including complex registration setup, reporting, attendee management, and post-event feedback;
- Proficiency in web development, including HTML, CSS, and JavaScript, to customise and optimise event-related websites and platforms;
- Proven experience in event management, particularly in registration and logistics and production of hybrid events;
- Strong background in marketing campaign development and execution, particularly for large-scale events;
- Ability to manage and integrate various technical platforms such as Salesforce and Passkey;
- Excellent project management skills, capable of managing multiple tasks and deadlines simultaneously with minimal oversight;
- Strong communication and interpersonal skills, with the ability to work effectively with cross-functional teams and external partners;
- Proficiency in data analysis to monitor and improve event performance and attendee engagement;
- Exceptional attention to detail and a commitment to accuracy and quality;
- A passion for C40’s work and subject-matter knowledge is highly preferred;
- Excellent English (spoken and written) is required. Portuguese is desirable.
Other Requirements:
Applicants must already have the right to work in the listed locations. Occasional travel may be required as part of the role. The successful candidate will be required on-site during the C40 World Mayors Summit, 2025.
